Almost every team building vendor in any country uses the same keywords for their events which include: “tailored experiences,” “effortless planning,” and”unforgettable retreats”. Here’s our thoughts on what truly separates a good team-building company from a forgettable one, and what should you be asking the activity planner within the first ten minutes on a call to evaluate if they are a good fit for your overseas group.

Firstly, why are team-building events even useful for your company. Gallup’s research on workplace engagement has found that organisations with highly motivated teams see meaningfully higher productivity and therefore profitability. They also experience significantly lower staff turnover. A team building retreat to Thailand isn’t the only motivation for that, it also gets the team to connect in-person, away from their screens and on the same time-zone, which for remotely distributed tech teams is potentially a rare thing. Are you getting a template or tailored team-building experience?

Most companies planning their first Thailand offsite may not realise there are really two very different categories of vendor offering quite different activity experiences.

Example 1. The vendor has a playbook of three or four set itineraries — a Chiang Mai one, a Phuket one, maybe likely a Bangkok one. They will present these which some small interchangable activities, and your job is to pick which package fits your headcount and budget. Now this isn’t a bad model, because by reusing the same itneries and the same vendors, the events are tried and tested and the offsite planner can ensure things run swimmingly for your team. This model is usually cheaper, but remember, you may be getting the same trust-fall and cooking-class combo that a 20 other companies got last quarter.

The second is the hospitality-led planner, which builds the retreat around your team. They look carefully at group dynamics and demographics and what you’re actually trying to solve. While doing this, they look to match the budget to make the experience a good fit, rather than slotting you into an existing template. You may have guessed when I wrote the words “hospitality-led planner”, that I am referring to our approach here at Offsite Thailand. This changes how our first call goes, because a template vendor asks how many people and what dates from the beginning, but we ask what’s actually going on with the team right now, and builds backward from that.

Now its important to mention that neither approach is automatically wrong. But you should know which one you’re buying before you sign anything, because the price difference between them often isn’t really about the events quality, it’s about how much customisation is baked into the fee.

Questions to separate good vendors from average ones

Every vendor has a good answer for the activities included, the head-count adjustment and how much offsite add-ons such as Swag and Photography will cost. We recommend the following questions which show real difference.

Who’s running the activities on the ground?

A lot of offsite companies have impressive team-building event experience — Muay Thai training, a cooking cooking class, and then outsource to well qualified local contractors. It’s important to ask directly whether the facilitators are people they work with regularly or a rotating pool for who is available.

What happens if something goes wrong on day two?

A flight gets delayed, someone gets ill or has an injury, it rains (during the Thai rainy season this is an important consideration). Ask what the actual contingency process looks will look like, not whether they have one. You want an example of a real situation they’ve handled.

Can you give me an example of team-building exercises?

Not every team-building or offsite event is the same. A small leadership or executive retreat requires different activities and a timetable to a incentive or reward trip, which also requires a different plan to a 50-person annual offsite for a remotely distributed team looking to plan their annual retreat. What does a 2/3 hour team-building session look like? Are the Ice-breakers asking using the age-old team building exercise of asking each member in the room “if they were an animal, which animal would they be?” or are they fast-paced, innovative and engaging exercises which captivate the energy, break-down barriers and get your team laughing and connecting together.

How do you handle dietary restrictions and accessibility needs?

This is a big question. A vendor with a vague answer such as “we’ll figure it out on the ground” is telling you something about how the rest of the trip will be handled too. Planning is key when you are running an event with multiple people in a different country.

What’s not included in this quote?

These questions are essential for your budget, and you as the internal organizer for your team may be held responsible when expected items are not included. Transport between venues, alcohol on gala nights and team t-shirts — these often get left off initial quotes constantly, and they add up fast once you’re three weeks from departure.

The difference between individual activities and a full offsite program

This is the single biggest quality signal of a team-building vendor, and it’s easy to miss if you’re comparing providers purely on their activity lists. Anyone with local connections can create a cooking class, a boat trip, and an amazing race. That’s a list of activities, but it’s not a program.

A vendor who knows and is focused on what they’re doing will ask what you’re trying to achieve before recommending anything, then sequence the days so the energy builds and dips at the right points of the 3-night or 4-night trip. Something physical and loud on day one to break the ice and get the team together, something quieter and more reflective by days two or three once people have relaxed into it, and a closing activity that gives the whole thing a sense of arrival, rather than just stopping. Reviews and testimonials

Read them, but read for specifics, not sentiment. “Amazing experience, highly recommend” is nice, but it doesn’t tell you much. What you want is a review that mentions something concrete, how a problem got handled, what the client actually noticed about the planning process, what specifically felt different from other vendors they’d used before.

A few things that, in our experience, tend to predict a rocky planning process more reliably than anything else:

  • A quote with no breakdown — just one total number and a list of inclusions, with nothing itemised. You can follow up and ask for a breakdown, of course.
  • Slow or vague responses before you’ve even signed anything (this rarely improves once you’re a paying client)
  • No mention of a dedicated on-the-ground contact during the trip itself
  • Every recommendation sounding suspiciously similar regardless of what you told them about your team

Any one of these on its own is definitely not a disqualifying factor, but two or three together might get you thinking about if this provider is right for your company.
